Three ways to save without it showing

  1. Move the date, not the guest list. Friday, Sunday and off-season dates cut venue pricing more than shrinking the list.
  2. Spend where guests look. Food, comfort and music are remembered; stationery and favours are not.

How to track it

Build the sheet around three columns: estimated, quoted, paid. Keep the buffer in its own row so you never quietly spend it. Re-forecast after every vendor you book.

Plan for 40–50% including catering and the bar; it is the line that scales most directly with guest count.

How much buffer should we keep?

Five to ten percent of the total. Almost every wedding meets at least one surprise — a guest count increase, an extra hour of music, altered attire.

Should we pay per guest or per item?

Per guest for anything consumed (food, drink, seating, favours) and per item for fixed costs (band, photographer, dress). That is what makes the budget respond to changes.
